Privacy notice
A practical explanation of the information submitted through booking and contact forms, what stays in your browser, and how to contact the clinic about your information.
Last updated: 7 November 2026
The Preconception Care Hub is responsible for personal information submitted through its booking service and general contact form. For privacy questions or requests, contact the clinic at thepreconceptioncarehub24@gmail.com or +233 54 782 6506.
When you submit a consultation request, the booking service stores the details needed to identify and coordinate it. This includes your name, email address, WhatsApp number, selected service and consultation mode, requested appointment day or days, booking status, payment status, and the version of the booking terms you accepted.
The website sends transactional emails about booking requests, confirmations, rescheduling, appointment reminders, and private-link recovery. These emails use your name, booking reference, service and appointment details, and may include a private booking link. Assessment answers are not included. Email delivery attempts are logged with the recipient, template, status, attempt time, and provider message ID.
The clinic may record payment method or reference details when reviewing a payment. The website does not ask for or collect card numbers, PINs, passwords, or online-banking credentials.
The general contact form asks for your name, email address, and message. When you submit it, these details are sent to Formspree for form processing and delivery to the clinic's configured recipient. Contact messages are not saved in the website's application database. Do not include sensitive health details in a general enquiry.
The clinic uses booking information to check availability, hold requested days, allocate appointments, contact you about the request, record and manually verify payments arranged with the clinic, manage an appointment, and keep an administrative record of decisions. Technical request limits and audit records also help protect the booking service and record administrative actions.
Contact form details are used to respond to your general enquiry. The form is not for booking requests or urgent medical concerns; use the booking page to request a consultation.
The clinic does not use readiness-check answers for advertising or automated clinical decisions. The readiness check suggests services; it is not a diagnosis or a decision about eligibility for care.
The readiness check uses local browser storage to remember your answers on your device. Clearing this browser's site data will remove those saved answers.
The site stores your analytics choice in local browser storage; that preference is not a cookie. When you open a private booking-management link, the service uses a necessary, HttpOnly session cookie for access to that booking. It is limited to the booking-access API and expires with the private link.
If you accept optional analytics, the site loads Google Tag Manager for Google Analytics. Google may collect site usage information such as pages viewed and technical browser or device details, and may use cookies for analytics. The analytics tag is not loaded unless you accept. It is also excluded from the contact form, readiness check, consultation booking, and private appointment-management pages.
You can reject analytics or change your choice using the Analytics choices control in the footer. Google processes information under its own privacy terms.
Clinic staff with the appropriate administrative access can view the booking information needed for their work. The website also relies on technical providers to host the application and database. The clinic does not sell personal information.
Formspree processes contact form submissions and routes them to the recipient configured for the form. Formspree and the email providers involved are third-party services and their own privacy terms apply.
Resend processes transactional email delivery for the clinic. The email recipient, message content, and delivery information are shared with Resend so the email can be sent.
If you accept optional analytics, Google receives site usage information as described above.
Links to services such as WhatsApp, email, and map directions take you to third-party services. Their own privacy terms apply when you use them.
The clinic will review booking records at least once each year and securely delete or anonymize records that are no longer needed for care coordination, administration, or a legitimate recordkeeping purpose. Information may be retained longer where required for clinical or legal recordkeeping, safety, or resolving a dispute.
Encrypted email content is removed from the delivery queue after the provider accepts the message or retries are exhausted. The email delivery log keeps the recipient, template, status, attempt time, and provider message ID as part of the clinic's operational records and is included in the clinic's periodic retention review.
The website does not keep a separate database copy of contact messages or automatically delete them. Contact messages may remain in Formspree or the clinic's email systems; the clinic reviews and removes them when they are no longer needed, subject to legitimate recordkeeping and legal obligations. Formspree's own retention terms apply to any copies it holds.
This is a manual clinic review; the booking application does not automatically delete records. You may contact the clinic to ask to access or correct your information, request deletion, or raise a privacy concern. The clinic may need to verify your identity before responding.
The application limits private booking access through time-limited private links and sessions. Administrative access is permission-based, and selected administrative actions are recorded. No online system can promise absolute security, so keep your private booking link confidential and contact the clinic if you believe it has been exposed.
If the information collected or the way it is used changes, this notice will be updated. The date below identifies the latest revision.
