Terms of service

How requests, appointments, and payments work.

These terms describe general contact enquiries, the consultation and booking flow, manual payment review, private booking access, rescheduling, cancellations, and refunds.

Last updated: 7 November 2026

About the service

The Preconception Care Hub provides preconception and reproductive-health education, assessments, counselling, and consultation requests with a midwife. Care may be online, at the clinic, or a combination where that option is listed.

An Online + Clinic service consists of separate online and in-person appointments. Select a requested day for each appointment in the booking flow. The clinic allocates the appointment time after reviewing the request.

The service is not an emergency service. If you have urgent or severe symptoms, seek urgent in-person medical care. Educational content and a readiness-check suggestion do not replace an individual clinical assessment, diagnosis, or advice from your healthcare professional.

Prices and availability

The current service catalogue, consultation modes, inclusions, and prices are managed by the clinic and shown on the website. The price displayed for the selected service and mode is recorded with the request. If you have a question about a listed fee or what a service includes, contact the clinic before paying.

Available days depend on clinic hours, appointment durations, buffers, capacity, and dates blocked by the clinic. The days shown are requests, not a guarantee of a particular appointment time.

Request, hold, and confirmation

Submitting the booking form creates a request, not a confirmed appointment. The service currently holds requested appointment days for 12 hours while payment is arranged; the clinic may change this booking setting. The deadline shown on your request takes precedence.

Payment is arranged directly with the clinic and reviewed manually. The website does not process card payments. A request becomes confirmed only after the clinic verifies payment and allocates the appointment. If payment is not received by the hold deadline, the request may expire and the requested capacity may be released.

For Online + Clinic requests, the request and payment relate to the selected service and its separately scheduled appointments. The clinic will review and allocate the requested days.

Private booking access

The website displays the private booking link to the client after request submission and makes the same link available to authorized administrators. While payment is pending, it expires with the payment hold. If the clinic confirms payment, the same link remains active until after the final appointment day. An authorized administrator can share it through WhatsApp or email. Opening the link creates a time-limited session on that device; the link can be opened again while active. The website does not automatically email booking links.

Anyone with the private link may be able to access the associated booking. Do not forward or post it publicly. Contact the clinic if you lose access, need a replacement link, or believe the link has been exposed.

Rescheduling

Under the current booking settings, a client may reschedule once per booking, subject to availability, at least 24 hours before the appointment being changed. The clinic can change the cutoff and permitted number of reschedules. The booking-management page shows whether rescheduling is available.

Cancellations and refunds

The client booking page does not currently offer self-service cancellation. Contact the clinic directly to request cancellation; an authorized administrator records the cancellation in the booking system.

The booking system does not apply an automatic refund formula or transfer funds. The clinic reviews refund requests and records an approval or decline and, if approved, the amount. A recorded decision is not itself a payment transfer. Contact the clinic directly for a decision and instructions for any approved refund.

Your information and communications

You are responsible for providing accurate contact details and keeping your private booking link confidential. Booking data and browser storage are described in the Privacy Notice. The booking form requires you to accept these Terms and acknowledge the Privacy Notice before submitting a request.

The contact form is for general enquiries. It asks for your name, email address, and message and sends that information through Formspree to the recipient configured for the form. A contact form submission is not a booking request or clinical advice. Do not include sensitive health details or use the form for urgent concerns.

The clinic may contact you using the details you provide to respond to an enquiry or coordinate a booking request, payment review, and appointment. Avoid sending sensitive health details through the contact form, general email, or WhatsApp unless the clinic has asked you to use an appropriate channel.

Updates and questions

The clinic may update these terms when the service or booking rules change. The terms in effect when you submit a request are recorded with that booking. For questions about these terms, a cancellation, or a refund request, contact thepreconceptioncarehub24@gmail.com or +233 54 782 6506.
